PlanPal AI ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our mobile application and web service.
Information We Collect
We collect the following types of information:
- Account Information: Email address, name, and password when you create an account.
- Planner Data: Tasks, priorities, appointments, notes, and expenses you create within the app.
- Health Data: With your permission, we access Apple HealthKit data including step counts, walking distance, and mindfulness minutes to display your wellness progress.
- Location Data: With your permission, we collect GPS location data during walking sessions to track your routes and calculate distance.
- Calendar Data: If you connect Google Calendar, we access your calendar events to sync with your planner.
- Email Data: If you enable Email Intelligence, we access your Gmail inbox metadata and message content to generate actionable suggestions. See the "Email Intelligence" section below for details.
- Device Information: Device tokens for push notifications, device type, and operating system version.
How We Use Your Information
We use your information to:
- Provide and improve our planning and productivity services
- Sync your data across devices
- Send push notifications about your tasks and appointments
- Display health and wellness metrics from Apple HealthKit
- Track walking sessions and display route information
- Sync with your Google Calendar (if connected)
- Generate AI-powered insights and suggestions using Anthropic's Claude
- Analyze your emails to suggest tasks, appointments, and follow-ups (if Email Intelligence is enabled)
Third-Party Services
We integrate with the following third-party services:
- Apple HealthKit: To read health and fitness data. This data is stored locally on your device and synced to our servers only with your permission.
- Anthropic Claude: To provide AI-powered features. Your task descriptions may be sent to Anthropic's API to generate insights. Anthropic does not retain this data for training.
- Expo Push Notifications: To deliver push notifications to your device.
Google Calendar Integration
When you connect your Google Calendar account, we access and store certain data to provide two-way synchronization between your Google Calendar and PlanPal AI.
Data We Access:
- Calendar event details (titles, descriptions, start/end times, locations)
- Event colors and all-day event status
- Your primary Google Calendar identifier
- Your Google account email and display name
Data We Store:
- Event titles, times, durations, and locations (to display events in your planner)
- Event descriptions and notes (for your reference)
- Google event IDs and sync metadata (to enable two-way synchronization and avoid duplicates)
- OAuth access and refresh tokens (encrypted at rest using industry-standard encryption)
How We Use This Data:
- Display your Google Calendar events alongside your planner appointments
- Create new events in Google Calendar when you add appointments in PlanPal AI
- Keep your planner and Google Calendar synchronized
Data Sharing:
- Your Google Calendar data is NOT shared with any third parties
- Your Google Calendar data is NOT used for advertising or marketing purposes
- Your Google Calendar data is NOT used to train machine learning or AI models
Revoking Access:
- You can disconnect your Google Calendar at any time through your account settings
- Upon disconnection, sync metadata (event IDs, tokens) is removed from your account
- Previously synced events remain as local appointments in your planner
- You can also revoke access via your Google Account permissions
Google API Services Limited Use Disclosure:
PlanPal AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
YouTube Integration
If you enable YouTube integration, we access and store certain data to provide video playback and subscription management features.
Data We Access:
- Your YouTube subscriptions (channel names and thumbnails)
- Your YouTube playlists and saved videos
- Video metadata (titles, thumbnails, durations)
Data We Store:
- Subscription and playlist information (to display your content)
- Watch history within PlanPal AI (videos you play through our app)
- Video metadata for playback features
Data Sharing:
- Your YouTube data is NOT shared with any third parties
- Your YouTube data is NOT used for advertising or marketing purposes
- Your YouTube data is NOT used to train machine learning or AI models
YouTube integration is subject to the same Google API Services User Data Policy and Limited Use requirements as Google Calendar.
Email Intelligence (Gmail Integration)
Email Intelligence is an optional, opt-in feature that scans your Gmail inbox and uses AI to suggest actionable tasks and calendar events. This feature requires explicit activation by you and is disabled by default.
Data We Access:
- Email metadata (subject lines, sender names, sender email addresses, timestamps)
- Email message snippets and, for detected calendar events, full message body content
- We only access recent emails (within the last 24 hours by default)
How We Process Email Data:
- Email content is sent to Anthropic's Claude API to identify actionable items such as meeting invitations, deadlines, follow-ups, and events
- The AI extracts structured information including suggested task titles, event dates/times, locations, and meeting links
- Anthropic does not retain your email content for training purposes
- We truncate email body content before sending it for AI processing to limit data exposure
Data We Store:
- AI-generated suggestions (suggested task titles, reasons, urgency, and extracted event details)
- Email metadata (subject, sender, timestamp) associated with each suggestion
- Gmail message IDs and thread IDs (to prevent duplicate processing)
- Your Email Intelligence preferences (scan frequency, confidence threshold, ignored senders)
Data We Do NOT Store:
- Full email body content is not permanently stored — it is processed transiently and discarded
- We do not store email attachments
- We do not access or store emails from other people's accounts
Data Sharing:
- Email content is shared with Anthropic solely for AI processing — Anthropic does not retain this data for model training
- Your email data is NOT shared with any other third parties
- Your email data is NOT used for advertising or marketing purposes
Your Control:
- Email Intelligence is opt-in and disabled by default — you must explicitly enable it
- You can disable Email Intelligence at any time through your account settings
- You can dismiss, snooze, or ignore any suggestion without affecting your emails
- You can configure scan frequency, minimum confidence thresholds, and ignored senders
- Disconnecting Email Intelligence permanently purges all stored suggestions and email metadata from our servers
Email Intelligence is subject to the Google API Services User Data Policy, including the Limited Use requirements. We access Gmail data only to provide the Email Intelligence feature and for no other purpose.
Data Storage and Security
Your data is stored on secure servers with restricted access. All data transmitted between your device and our servers is encrypted using HTTPS/TLS.
Health data accessed from Apple HealthKit is handled in accordance with Apple's HealthKit guidelines and is not shared with third parties for advertising or marketing purposes.
Data Retention
We retain your data for as long as your account is active. You can delete your account at any time, which will remove your personal data from our servers.
Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Revoke permissions for HealthKit, location, or calendar access at any time through your device settings
Children's Privacy
Our service is not intended for children under 13. We do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date.
